Newman’s Own Foundation is seeking a part-time paid Archivist Intern near Westport, Connecticut to support the cataloging, inventory, and storage of Newman’s Own Foundation’s physical and digital archive. The Foundation’s collections include items from Newman’s Own’s 40-year history, including photographs, tapes/videos, posters, artwork, sculptures, awards, packaging, and other objects. This role involves on-site physical duties that must be performed at the Newman’s Own Foundation office in Westport, CT, as well as computer-based work that may be performed remotely, subject to operational needs. This role reports to the Communications & Brand Manager.
Essential Duties and Responsibilities
Physical processing of materials according to established structure, including:
- Catalog physical assets according to established catalog structure
- Describe and label materials at file and box level according to established record groups
- Re-house materials in provided archival boxes, folders, and sleeves
- Move and organize archival boxes and assets
- Support creation of an internal guide for navigating the physical archive for Newman’s Own staff
Digital Archiving and Cataloging:
- Organize boards according to established catalog structure and instructions
- Describe boards and assets, updating description, tags, and custom fields as needed
- De-dupe assets as needed
- Assist in determining usage rights for digital assets
- Support creation of an internal guide for navigating the digital archive for Newman’s Own staff
- Other support as needed
At completion of internship, provide recommendations for the Newman’s Own Foundation archive going forward.
Desired Knowledge and Abilities
- Demonstrated understanding and ability to implement catalog convention and archival processes
- Experience using digital asset management systems (we use Air)
- Strong attention to detail
- Excellent interpersonal communication
- Ability to work independently
- Excitement for Newman’s Own Foundation, Paul Newman, and preserving this legacy
Minimum Qualifications and Skills
- At least 2 years of experience, coursework, and/or degree in Library & Information Science and/or archival processing
- Excellent organizational and communication skills
- High level of digital proficiency and digital asset management skills
- Strong project management skills
Schedule and Compensation
- This is a hybrid position, requiring extensive in-person work at Newman’s Own Foundation’s office in Westport, Connecticut. Candidates must be within commutable distance.
- Pay rate is $18-$22 an hour, commensurate with experience.
- Interns are expected to work between 15-25 hours a week. Work should be generally completed during East Coast business hours (8am–6pm ET).
- This is a project-based, part-time, temporary position. Projected anticipated to start by April 2026 and end by September 2026.
- There is flexibility around start and end dates, preferred workdays, and weekly schedule.
- As applicable, enrolled students may pursue academic course credit for this internship. Interns are solely responsible for confirming their institution’s requirements and for tracking and fulfilling all associated documentation, hours, and approvals. Please indicate interest in obtaining course credit—and any related academic requirements—in the cover letter.
